Quick answer

To automate Facebook Messenger leads, connect your Page to a tool that replies instantly, asks a few qualification questions, saves the answers to a lead record in your CRM, and hands the conversation to the right salesperson with a follow-up task. Keep a person in the loop for pricing and commitments, and work within Meta’s rules: you can generally message someone within 24 hours of their last message, while messages outside that window need an allowed message tag and cannot be promotional.

For many Philippine businesses, the Facebook Page inbox is where sales start. It is also where they get lost: a “How much?” at 9 p.m. that nobody answers until the next afternoon, a promising inquiry buried under fifty other threads, or a quotation sent once and never followed up. This guide shows a practical setup for capturing, qualifying, routing and following up Messenger leads, the Meta platform rules you must work within, how to measure whether it is working, and what NexCRM AI does and does not do.

Why Messenger leads slip through

  • No owner. Several staff can see the Page inbox, so everyone assumes someone else will reply.
  • Replies wait for office hours. Many inquiries come in at night and on weekends.
  • Answers live in chat, not in a record. The customer’s needs, budget and timeline are scattered across a long thread.
  • No next step. After the first reply or quotation, there is no reminder to follow up.
  • The window closes. Once the customer stops replying, Meta’s messaging rules limit what you can send through Messenger, so a follow-up plan needs other channels too.

Automation helps with the first four. The fifth needs a plan that respects Meta’s rules, which we cover first because it shapes everything else.

Meta Messenger Platform rules that matter

These points come from Meta’s developer documentation for the Messenger Platform, checked on 24 October 2026. Meta updates these rules, so confirm them on developers.facebook.com before you build or change a workflow.

RuleWhat Meta’s documentation saysWhat it means for your workflow
Standard messaging windowThe window length depends on the user’s action: “For most user actions, it lasts 24 hours.” When the person’s first message comes after clicking a Click-to-Messenger ad, the window “may last up to 7 days from that message.”Do your qualification and first follow-ups while the customer is active in the chat.
Promotional contentMessages sent within the standard messaging window may contain promotional content. Message tags “may not be used to send promotional content.”Offers and price reminders belong inside the window, or in channels the customer agreed to.
Message tagsTagged messages are for sending outside the standard window, must use a tag that matches the allowed use case, and must be non-promotional. Use of tags outside approved use cases “may result in restrictions on your ability to send messages.”Do not use tags to chase a sale.
Human Agent tagAllows a business representative to manually respond to a person’s messages within a 7-day period. It is for cases where an issue cannot be resolved within the standard window, and it requires the Human Agent permission, business verification and App Review. For genuine, manual replies by staff, for example when the business was closed over a weekend. It is not for automated follow-ups.
Retired update tagsMeta’s documentation says the CONFIRMED_EVENT_UPDATE, ACCOUNT_UPDATE and POST_PURCHASE_UPDATE tags are being retired. The Send a Message guide says requests using them will receive an error from 27 April 2026; the Send API reference gives 10 February 2026.Do not build follow-ups that depend on these tags.
Messaging after the window with permissionMeta offers Marketing Messages, where you ask a person for permission to send marketing messages after the window ends, and one-time follow-ups when someone has explicitly requested one.If you want to message customers later, ask for permission inside the conversation.
Disclosing automationWhere required by law, automated chat experiences must disclose that a person is interacting with an automated service at the start of a conversation, after a significant lapse of time, or when a chat moves from a human to an automated experience. Meta recommends disclosure as best practice even where not legally required.Tell customers they are chatting with an assistant, and say so again when the bot takes over from a person.
ResponsivenessFor bots categorized as automated, “Automated bots must respond to user input within 30 seconds” and must respond to all user input. These rules do not apply to bots set as hybrid or human. If you configure a fully automated bot, it must never leave a customer hanging.
Sharing a conversation between bot and peopleMeta’s Conversation Routing lets connected apps and Meta Business Suite Inbox pass control of a conversation. Meta says it no longer supports the older Handover Protocol for Messenger.Your automation tool and your staff in the inbox need a clear rule for who controls each thread.

Important: Automation tools do not change these rules. Whatever software you use, your business is responsible for how and when you message customers. Plan your follow-ups so that, once the Messenger window closes, the next touch happens by phone, email or another channel the customer agreed to.

Step 1: Capture every lead into one place

Messenger leads usually come from three places:

  • Organic Page messages, from people who find your Page or posts.
  • Click-to-Messenger ads, which open a conversation directly. Remember that the first message after such an ad can have a longer messaging window.
  • Links from your website or other posts that open a chat with your Page.

The goal is that every new conversation creates or updates a lead in your CRM automatically, with the source recorded. If your CRM can sync past threads into the lead, the salesperson sees the full history without scrolling through the inbox.

Step 2: Reply instantly, then ask, do not pitch

An instant first reply should do three things: greet, disclose that this is an automated assistant, and ask a question that moves the conversation forward. Avoid sending a long price list immediately; you learn nothing about the customer and they may leave.

The assistant can answer frequently asked questions such as location, business hours, service areas, delivery coverage and general product information, but only from answers you have written and approved. Anything involving custom pricing, discounts, delivery commitments or complaints should go to a person.

Step 3: Qualify with a short script

Three to five questions are usually enough to tell whether a lead is worth a salesperson’s time and who should handle it. Keep questions short, allow free-text answers, and accept Taglish.

Example

Illustrative qualification script for a hypothetical office furniture supplier. Adapt the questions to your business.

  1. Assistant: “Hi! Thanks for messaging. I’m the automated assistant of the team, and I can help with quick questions and connect you to a sales rep. What are you looking for today?”
  2. Assistant: “Is this for a home office or a business? If business, what’s the company name?”
  3. Assistant: “Roughly how many pieces or workstations do you need?”
  4. Assistant: “Which city should we deliver to?”
  5. Assistant: “When do you need it? (This month / next 1–3 months / just canvassing)”
  6. Assistant: “What’s the best mobile number or email so our rep can send you a quotation?”
  7. Assistant: “Thank you! I’ve passed your details to our sales team. A team member will continue this chat with you. May we also send you the quotation by email?”

Example rule: business buyer + 10 or more workstations + needed within 3 months = hot lead, routed to a senior rep immediately. Home office or “just canvassing” = nurture, with a product guide and a follow-up task.

Asking for a phone number or email serves two purposes: it lets you follow up after the Messenger window closes, and it gives you a clear point to tell the customer how you will use their details, which is required under the Data Privacy Act. Our overview of CRM and data privacy obligations summarizes the principles.

Step 4: Hand over to a person at the right moment

Set clear triggers for handing the conversation to a human:

  • The lead meets your “qualified” rule.
  • The customer asks for a person, a call, or a site visit.
  • The customer asks about pricing, discounts or terms not covered by approved answers.
  • The customer is upset or reports a problem.
  • The assistant does not understand after one clarifying question.

When the handover happens, the assistant should tell the customer that a team member will continue, and the salesperson should see a short summary of what was already asked, so the customer does not have to repeat themselves. If the conversation later moves back to automation, say so in the chat.

Step 5: Route to the right salesperson

Common routing rules:

  • By territory: Metro Manila, North Luzon, Visayas, Mindanao.
  • By product line or deal size: large B2B inquiries to senior reps.
  • By existing relationship: returning customers go to their current account owner.
  • Round-robin: spread new leads evenly within a team.

Every routed lead should create a task for the owner with a due time, and a manager should see unclaimed leads.

Step 6: Build a follow-up cadence that respects the window

Most leads do not buy on the first conversation. A cadence is a planned sequence of follow-ups with dates and channels. Design it around the Messenger window rather than against it.

Example

Illustrative cadence for a qualified B2B lead. Timing and channels should match your sales cycle.

WhenChannelActionWho
Within minutesMessengerInstant reply and qualification questionsAssistant
Same dayMessengerSalesperson continues the chat, confirms needs, books a call or visitSalesperson
Within the windowMessenger + emailQuotation sent; customer asked if they agree to follow-up by email or phoneSalesperson
Day 3Phone or emailCheck if the quotation was received and answer questionsSalesperson (CRM task)
Day 7EmailShare a relevant case detail, spec sheet or delivery scheduleSalesperson (draft prepared by AI, reviewed)
Day 14PhoneFinal check; mark the deal won, lost (with reason) or nurtureSalesperson; manager notified if idle

If the customer messages your Page again at any point, the Messenger window reopens and the conversation can continue there.

Step 7: Sync everything to the CRM

Automation only helps if the result lands in a record your team uses. At minimum, sync:

  • Contact details and company
  • Answers to each qualification question, as fields you can filter
  • Lead source (organic, specific ad, website link)
  • Owner, stage and next follow-up date
  • Conversation history or a summary
  • Consent notes, such as agreement to be contacted by email

The full workflow at a glance

  1. Customer messages your Page. A lead is created or updated in the CRM with the source.
  2. Assistant replies within seconds. It discloses that it is automated and asks what the customer needs.
  3. Assistant answers FAQs and qualifies. Only approved answers; three to five questions; contact details collected with a clear explanation of use.
  4. Lead is scored and routed. Hot leads go to the right salesperson with a task due within a set time.
  5. Human takes over. The salesperson sees the summary and continues the chat inside the messaging window.
  6. Quotation and next step. Quote sent from the CRM; permission asked for email or phone follow-up.
  7. Follow-up cadence runs. Tasks and reminders handle day 3, 7 and 14; AI drafts are reviewed before sending.
  8. Idle deals are flagged. If nothing happens for a set number of days, the manager is notified.
  9. Outcome recorded. Won, lost (with reason) or nurture, so reports reflect reality.

How to measure whether it works

We will not give “industry benchmark” response times or conversion rates; they vary widely and often come from sources that cannot be checked. Instead, measure your own baseline for two to four weeks before automating, then compare.

MetricHow to calculateWhat it tells you
First response timeTime from customer’s first message to your first reply (median, not average)Whether inquiries are acknowledged promptly
Time to humanTime from qualification to the first message from a salespersonWhether the handover is working
Qualification rateQualified leads ÷ new Messenger leadsLead quality by source or ad
Lead-to-meeting or lead-to-quotation rateLeads with a meeting or quote ÷ qualified leadsWhether conversations move forward
Win rateWon deals ÷ quotations sentSales effectiveness after the quote
Follow-up completionFollow-up tasks done on time ÷ follow-up tasks dueTeam discipline
Unanswered threadsConversations with no reply after a set timeGaps in coverage, especially nights and weekends

Review these weekly. If qualification rate drops after you change an ad, the ad is attracting the wrong audience. If time to human is long, adjust routing or staffing.

What NexCRM AI does, and does not do, on Messenger

NexCRM AI connects to Facebook Messenger: your team can reply to Page messages from the CRM, and past threads can be synced into the lead record. Its AI works at three levels:

  • Level 1, AI Customer Assistant: gives instant replies on Facebook Messenger, collects the customer’s name, contact details and needs, answers FAQs from answers you approve, and hands qualified leads to your team.
  • Level 2, AI Sales Copilot: suggests replies and drafts follow-ups that staff review before sending, summarizes conversations, suggests next-best actions and answers questions from CRM records.
  • Level 3, AI Workflow Agents: agents for follow-ups, campaigns, proposals, support, projects and collections. Their actions wait in an Approval Queue by default, are recorded in an Audit Timeline, and admins control how much autonomy they have.

Workflow automation rules, such as creating a follow-up task and notifying a manager when a deal goes idle, are available on the Business plan and up. Gmail and two-way Google Calendar integration support the email and meeting steps of the cadence.

Note: NexCRM AI does not support WhatsApp, Instagram messages or SMS. If your customers mainly reach you on those channels, plan for that before choosing a tool. Meta’s messaging rules described above still apply to your business when you use any automation tool.

Common mistakes to avoid

  • Hiding that it is a bot. Customers notice, and Meta’s guidance recommends disclosure.
  • Letting AI quote prices or promise delivery dates that nobody approved.
  • Asking too many questions before a human steps in.
  • Treating message tags as a follow-up channel. They are for specific non-promotional cases.
  • Not collecting a second contact channel, so leads disappear when the window closes.
  • Automating without a CRM record, so answers stay buried in chat.

Frequently asked questions

What is the 24-hour rule on Facebook Messenger?

Meta’s standard messaging window lets a business reply to a person for a limited time after that person’s message: for most user actions it lasts 24 hours, and it may last up to 7 days after a first message that follows a Click-to-Messenger ad. Outside the window, messages need an allowed message tag and cannot be promotional.

Can I send follow-up offers on Messenger after 24 hours?

Not with message tags, which Meta says may not be used for promotional content. Meta offers options such as Marketing Messages, which require the person’s permission. Otherwise, follow up by email or phone if the customer agreed to it.

What is the Human Agent tag?

It lets a business representative reply manually within 7 days of a person’s message when an issue cannot be resolved in the standard window. It requires Meta’s Human Agent permission, business verification and App Review, and it is meant for real staff replies, not automated messages.

Do I have to tell customers they are talking to a bot?

Meta’s policy says that where the law requires it, automated chats must disclose this at the start of a conversation, after a significant lapse of time, or when moving from a human to automation, and recommends disclosure everywhere as best practice. It is a simple line to add to your greeting.

Can automation replace my sales team on Messenger?

It can handle first replies, FAQs and qualification, but pricing, negotiation and complaints still need people. The best setups use automation to make sure every inquiry is answered and recorded, and people to close the deal.

Does NexCRM AI work with Instagram or WhatsApp messages?

No. NexCRM AI’s live messaging integration is Facebook Messenger. Instagram messages, WhatsApp and SMS are not supported.
